Who we are
MessageHome is operated by MessageHome Digital Ltd (messagesend.homes), a message-board service that brings WhatsApp, SMS, Telegram and email messages from a family onto a single physical screen. This policy covers the account holder (the "organiser") and, where relevant, the people whose messages appear on a board.
What we collect
- Account details: the organiser's name for the board and email address, used for sign-in links and account communication.
- Message content: the sender's name/number, the channel it arrived on, and the message text, so it can be displayed on the board. Only the most recent messages are kept (50 per board); older ones fall off automatically. It's encrypted in the database, and we don't analyse, scan, or use message content for anything other than displaying it.
- Contact identifiers: phone numbers and Telegram chat IDs an organiser has explicitly paired to their board, so we know whose messages to deliver where.
- Usage/activity data: when messages last arrived, when the board screen last connected, and whether any reminders escalated. No message content is stored in this data: only counts and timestamps.
- Wellbeing monitoring: if a board stops checking in or its battery runs very low, we treat that as a possible sign something's wrong and send an automatic heads-up to the board's own family contacts (and to us, to keep the service running). This is a safety feature, not a health assessment — we infer nothing beyond "the board has gone quiet or has a flat battery", and we don't collect any health or medical data to do it.
- Calendar data: if connected, event titles and times fetched from the calendar link an organiser provides, shown on the idle screen only.
- Kiosk tablet data: if your board runs on a MessageHome-supplied tablet, we collect basic device telemetry (OS version, storage, battery, wifi signal) and crash reports to keep it running reliably, and can remotely manage it (restart, brightness, wifi lock, cache clear, factory-reset enablement). We can also request an on-demand screenshot of what's currently on the board to diagnose a fault; screenshots are automatically deleted within 24 hours, and every request is separately logged for 90 days.
- Billing/subscription status: plan and trial/renewal dates. Payment is handled entirely by Stripe, our payment processor: we don't collect or store your card details ourselves, and they never touch our servers.
Our legal basis
We only process personal data where we have a lawful basis under the UK GDPR:
- Contract (Art 6(1)(b)): to run the board you signed up for — storing and displaying messages, reminders and settings, and managing your subscription.
- Legitimate interests (Art 6(1)(f)): to keep the service running, secure and improving, to diagnose faults, and to check on the wellbeing of the person using the board when it goes quiet or its battery runs low. We only rely on this where it doesn't override your rights.
- Legal obligation (Art 6(1)(c)): where the law requires us to keep or disclose records.
- Consent (Art 6(1)(a)): where you've given us specific permission; you can withdraw it at any time.
Special-category data
Some information can reveal a health condition or disability — for example, a medication reminder, or the specific accessibility or reward display settings you choose for the board (such as a Down syndrome, autism, ADHD, dyslexia or other condition-specific mode). We treat that as special-category data and process it on the basis of your explicit consent, which you give by choosing and turning on those features.
Our wellbeing monitoring works from device status alone and does not process health data, so it is not special-category processing — it rests on legitimate interests.
Message senders
If you message a board (over WhatsApp, SMS, Telegram or email), we store your name/number and your message so it can be shown on the board's screen. You don't have an account with us — the person who set up the board (the "organiser") added your number or address so your messages reach it.
The first time you message a board over WhatsApp or Telegram, we send you a one-off reply pointing you to this policy. You can ask the organiser to remove your number at any time, or contact us at hello@messagehome.co.uk.
How long we keep it
Message content is capped at the 50 most recent per board, and older messages are removed automatically, not archived. Account and settings data is kept for as long as the board exists. Deleting a board removes its messages, activity history and settings entirely; this can't be undone.
For kiosk tablets, we keep only the most recent telemetry snapshot and the most recent crash or update details per tablet — earlier readings are overwritten, not retained as a history. Counters (reboots, crashes, unplugs and the like) accumulate as running totals, not event logs.
Your rights
If you organise a board, you can:
See and export your data
Your family page has a "Download my data" button giving you everything held about your board in one file.
Delete your board
Removes all messages, settings, activity history, photos and profiles permanently, from your family page. This can't be undone.
Correct anything wrong
Update your board's settings yourself from your family page, or ask us.
If someone's messages appear on a board they didn't set up themselves (e.g. a family member texting in), the organiser controls that pairing and can remove it at any time from their family page.
